Job Summary
We are recruiting on behalf of our client for an experienced Executive Assistant
to join a dynamic and high-performing legal team within a private investment office based in the Cayman Islands. This is a pivotal role offering a blend of executive support, legal secretarial duties, and administrative coordination. Our client is a well-established private investment office with a multi-decade history of investing across diverse asset classes including global equities, fixed income, commodities, real estate, and alternative funds. You will be joining a close-knit legal team that plays a critical role in supporting the firm’s investment and operational activities.
As Executive Assistant, your responsibilities will include:
- Providing comprehensive administrative support to lawyers, including diary, phone, and travel management.
- Managing legal documents and maintaining organised filing systems.
- Drafting, editing, and finalising contracts, legal reports, and other documentation.
- Coordinating board meetings, taking minutes, and preparing resolutions.
- Monitoring deadlines and supporting efficient team operations.
- Assisting with AML and compliance documentation collation.
- Participating in legal and operational projects as required.
- Handling ad-hoc tasks assigned by the General Counsel.
To be successful in this role, you should possess:
- A minimum of 8 years’ recent experience as an Executive Assistant or Legal Secretary, with at least 3 years in the Cayman Islands.
- Prior experience at a top-tier law firm.
- Strong familiarity with Cayman Islands laws, corporate documents, and regulatory filings.
- Advanced proficiency in Microsoft Word and solid knowledge of Microsoft Office Suite.
- Working experience with iManage document management systems.
- Excellent written and verbal communication skills.
- High attention to detail and commitment to accuracy.
- Ability to work independently, under pressure, and across teams.
- Willingness to work flexible hours, including evenings and weekends when required.
