Responsibilities and Duties
Executive Support
- Provide comprehensive administrative support to senior executives.
- Manage complex calendars across multiple time zones.
- Prepare briefs, agendas, meeting documentation, and talking points.
- Draft correspondence, presentations, and internal communications.
- Monitor, prioritise, and respond to emails when appropriate.
- Support cross-functional projects and follow-up actions.
- Maintain organised digital filing systems.
- Liaise sensitively with global stakeholders including legal partners, clinics, donors, and clients.
Travel & Logistics
- Arrange detailed international travel itineraries including flights, accommodation, visas, and schedules.
- Prepare thorough travel packs and pre-trip briefings.
- Manage last-minute changes with calm efficiency.
Office & Operations Support
- Act as a key point of coordination for the Cayman Islands headquarters.
- Support office supplies, vendor relations, and basic facilities management.
- Assist with HR coordination and onboarding documentation.
- Help organise team events, retreats, and client visits.
Personal Assistant Duties
- Coordinate personal appointments and calendars.
- Assist with personal and family-related travel arrangements.
- Manage occasional errands and household administration.
- Liaise with household service providers across global locations.
- Support planning for personal events and family logistics.
- Maintain strict confidentiality and professional boundaries at all times.
Qualifications and Skills
- 5+ years’ experience as an Executive Assistant or Personal Assistant supporting senior leaders.
- Exceptional organisational skills and meticulous attention to detail.
- High emotional intelligence and strong interpersonal skills.
- Ability to work effectively in a fast-paced, global environment.
- Excellent written and verbal communication abilities.
- Strong proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
- Confidence managing complex, multi-time-zone scheduling.
- Valid Cayman Islands work authorisation (or eligibility).
- Compassionate and comfortable working within a sensitive, family-building context.
- Calm, solutions-focused, and adaptable to changing priorities.
- Strong professional judgement and discretion.
- Able to work independently as well as collaboratively.
