We are recruiting on behalf of our client for an experienced Executive Legal Secretary to join their Regulatory practice. In this role, you will provide high-level administrative and organisational support to senior lawyers, ensuring smooth management of matters, client relationships, and workflow. Responsibilities and Duties
  • Provide full lifecycle support across matters, including document drafting, proofreading, and version control.
  • Maintain electronic and physical filing systems for efficient document retrieval.
  • Coordinate matter openings, engagement letters, compliance/KYC checks, and onboarding processes.
  • Assist with billing cycles, expense processing, and month-end close-outs.
  • Prepare and coordinate client calls, meetings, and case timetables.
  • Manage complex calendars and scheduling to meet deadlines and priorities.
  • Organise business-related travel, conferences, and associated logistics.
  • Communicate professionally with clients, regulators, and external service providers.
  • Support business development activities, including updating collateral and assisting with RFP responses.
Qualifications and Skills
  • Minimum 5 years of senior-level legal secretarial or PA experience in a law firm or professional services environment.
  • Strong working knowledge of legal terminology.
  • Advanced proficiency in MS Office, Adobe, document management systems, and billing platforms.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent written and verbal communication skills with a client service mindset.
  • Highly organised, able to prioritise and meet deadlines independently.
  • Flexible and adaptable, willing to work outside standard hours when required.
  • Positive attitude and collaborative approach to team support.
