Responsibilities and Duties
As the Office Coordinator, you will:
- Provide administrative support for the day-to-day management and operation of the property.
- Assist with accounting functions, including invoicing, bank reconciliations, collections, payroll preparation, and financial record keeping.
- Maintain accurate records within property management and accounting systems.
- Coordinate and supervise housekeeping and maintenance activities to ensure high service standards.
- Manage reservations, guest arrivals, owner communications, and rental administration.
- Conduct property inspections and support quality assurance initiatives across the site.
- Assist with staff scheduling, performance reviews, and operational planning.
- Support management with reporting, budgeting, meetings, compliance requirements, and special projects.
Qualifications and Skills
To succeed in this role, you will have:
- Previous experience in office administration, property management, hospitality, or a similar operational environment.
- Strong bookkeeping, accounting, and financial administration skills.
- Experience using accounting and property management software; QuickBooks experience would be advantageous.
- Excellent organisational and time management skills with the ability to prioritise competing responsibilities.
- Strong interpersonal and customer service skills with a professional and approachable manner.
- Proficiency in Microsoft Office applications, particularly Excel, Outlook, and reporting tools.
- The ability to work independently, exercise sound judgement, and solve problems proactively.
- Strong attention to detail and a commitment to delivering high standards of service and accuracy.
