Job Summary
We are recruiting on behalf of our client for a 12-month Temporary Leasing Administrator role. This position involves providing secretarial support and coordination to the Senior Leasing Administrator, Leasing and Legal Liaison, and the wider leasing department.

Responsibilities and Duties
- Assist with drafting and revising legal documents related to leasing transactions.
- Compile, check, and summarise information relating to leasing transactions.
- Manage databases to maintain detailed records of all leasing transactions.
- Review lease transactions within the property management database to ensure compliance with lease documentation.
- Perform administrative tasks such as scheduling meetings and organising files.
- Provide direct assistance to the Senior Leasing Administrator, Legal and Leasing Liaison, and the wider department.
- Correspond with clients, government agencies, and authorities.
- Conduct property research either at Lands & Survey or online.
- File real estate documents with Lands & Survey and other government departments as necessary.
- Prepare and provide lease-related reports for the department on a weekly/monthly basis.
- Previous experience as a Legal Secretary would be advantageous.
- Minimum of three years’ secretarial experience within a legal or corporate environment.
- Experience in drafting, amending, and formatting leasing and other real estate documentation and reports.
- Proven experience managing multiple tasks, including producing a high volume of documentation daily.
- High-level secretarial support to the Leasing and Legal Liaison and the wider team.
- Proactively identify opportunities to streamline processes and enhance efficiency within the team.
- Experience using Lands & Survey online and knowledge of Lands & Survey’s procedures for filing real estate documents.
- Excellent communication skills and a professional demeanour.
- Impeccable organisational skills and ability to manage multiple tasks simultaneously.
- Proven ability to prioritise effectively and manage multiple projects and demands to meet competing deadlines.
- Proficient use of Microsoft software, including Word, Excel, and Outlook.
- Ability to handle confidential and sensitive information.
- Support with administrative matters and fill in for the Administrative Assistant when out of office.
